Culinary Exhibitor: Restaurant Agreement

Thank you for participating as a donor and supporting our community!

As a Culinary Exhibitor, you agree to provide Festival attendees with samples of your restaurant’s food offerings while showcasing your brand and engaging with attendees.

All participating Culinary Exhibitors will be eligible for a “Best in Show Award for Culinary Exhibitors,” as voted by Festival guests.  (Note: There will be a separate “Best in Show Award for Food Truck Exhibitors” and “Best in Show Award for Beverages”)

General Festival Rules and Guidelines:

Two 6’ draped tables will be provided for each Culinary Exhibitor.
Exhibitors are responsible for additional table décor, serving pieces, and equipment (including plating, utensils, etc.)
No electrical outlet will be provided. Please plan accordingly.
Be prepared to serve a tasting portion (2 oz. recommended) to up to 1,000 attendees, which is expected to last the duration of the event, which is 7:00 p.m.
Any food, beverage, or retail sales during the West Alabama Food & Wine Festival is strictly prohibited per the City Tax Revenue Division and ABC Board Regulations. The sole exception is the Alabama Wine Growers Association, which per the ABC Board, may participate in retail sales.
Up to three uniformed staff per Exhibitor are allowed entry into the Festival without purchasing a ticket.
Two complimentary General Admission guest tickets will be provided to each participating Exhibitor.

Pre-Festival Marketing & Promotions:

We typically use traditional marketing and social media to promote the event.

For inclusion in the West Alabama Food & Wine Festival website and additional digital and print promotion, we will pull an image and logo from the website/Facebook page provided in this form. If you’d like a specific image or logo to be used, please upload your files here:

All Exhibitors will be included in the final round of promotions, including print ads and social media posts.

April 18 Festival Check-in and Set-up:

The Festival area in Downtown Northport will open for all Exhibitors to set up at 12:30 p.m.
All exhibits must be fully set up by 2:30 p.m. (VIP Entrance begins at 3:00.)
To expedite set-up, please bring your own cart, if possible.
All exhibits must be removed from the Festival venue by 7:30 p.m. on Sunday, April 18, 2027. No items may remain overnight.
Post-setup parking for Culinary Exhibitors will be available during the entirety of the Festival.

Do you plan to bring your own tent? If not, we will provide one for you.
Note: Tents larger than 10' x 10' are strictly prohibited.

Consent to Photography and Tape Recordings

I hereby grant permission to the West Alabama Food and Wine Festival and their sponsors to use photographs and tape recordings made of my business and me during the 2027 West Alabama Food and Wine Festival for publicity and other non-commercial purposes.

Required Agreement:

The West Alabama Food & Wine Festival is a charitable fundraising event benefiting local nonprofit organizations. Participating culinary exhibitors provide complimentary samples to festival guests and do not sell food at the event. By participating, your business is generously donating its time, talent, and food samples to help us raise funds for our beneficiaries and make a meaningful impact in our community. Please confirm that you understand that participants are expected to provide food samples at no charge to festival guests.(Required)
My business and I will operate our Culinary Exhibit from 2:30 p.m. - 7:00 p.m. on Sunday, April 18, 2027. My business or I shall not hold the West Alabama Food and Wine Festival, WAFWF volunteers, or any of its sponsors or representatives responsible for accidents to me, my staff, or my property. I agree to assume all financial responsibility, including, but not limited to, damages to property or injuries to persons, which arise or are claimed to arise out of or in connection with my participation in the West Alabama Food and Wine Festival located in Downtown Northport on Main Avenue. I agree to comply with all applicable Federal, State, and Local laws, rules, and regulations while participating in the West Alabama Food and Wine Festival.(Required)
